ABOUT THE ROLE

We are seeking a detail-oriented and proactive Billing Operations Specialist to support our financial operations, payroll, and revenue cycle management (RCM) processes. This role will focus on overseeing billing workflows, managing vendor communications, processing payroll, and ensuring timely and accurate accounts payable activities.

The ideal candidate will serve as a key liaison between Overstory Health and our external billing vendor (Simitree) helping track claims, manage follow-ups, and ensure clean and timely reimbursement cycles. This person will also support biweekly payroll processing in coordination with our HR and leadership teams to ensure employees are paid accurately and on time.

QUALIFICATIONS

  • Minimum 4 years of experience in accounts payable, payroll, and medical billing.
  • Behavioral health (specifically Intensive Outpatient Programs or Partial Hospitalization Programs) or healthcare experience preferred.
  • Working knowledge of payroll systems (e.g., Gusto, ADP, Paylocity, or similar).
  • Strong understanding of health insurance billing workflows and experience managing third party billing vendors, compiling reports, etc.
  • Proficiency with Excel/Google Sheets and accounting systems (QuickBooks or similar).
  • Strong attention to detail, organization, and follow-through.
  • Excellent communication and collaboration skills; comfortable managing external vendor relationships.

RESPONSIBILITIES

Revenue Cycle Management

  • Help verify insurance eligibility and benefits prior to admission, including deductibles, co-pays, and network status.
  • Review financial responsibilities with patients, collect cost shares, and ensure completion of required forms.
  • Run daily authorization reports, follow up with payers, and update the EHR (KIPU) for clinical and billing visibility.
  • Identify and correct front-end billing errors; partner with Simitree to ensure clean, accurate claim data.
  • Follow up on outstanding insurance and patient AR to ensure timely resolution and reimbursement.
  • Maintain compliance with payer, state, and federal billing regulations (HIPAA, Medicaid/Medicare).
  • Serve as a resource for patients and staff on billing questions, benefits, and account balances.
  • Collaborate with RCM and clinical teams to streamline processes and improve data accuracy.

Accounts Payable, Payroll, and Operations

  • Manage vendor invoices, reimbursements, and payments according to internal approval workflows.
  • Maintain accurate financial records and reconciliations for all payables.
  • Partner with HR to process biweekly payroll. Maintain payroll records and support related reporting, audits, and compliance needs.
  • Support leadership with monthly billing summaries and financial reporting.
  • Contribute to audit preparation, process improvement, and cross-departmental coordination.
