About This Role
We are seeking a highly-skilled Executive Assistant (EA) to support 2-3 members of our executive team. In this role, you will be a critical partner in enabling leadership effectiveness and driving seamless organizational efficiency in a remote-first environment. Our EA team collaborates closely with leaders across the company to manage complex schedules, facilitate meetings, and coordinate logistics for events and large-scale offsites. The ideal candidate brings exceptional attention to detail, thrives in building and refining processes, and is tech-savvy, leveraging tools and systems to optimize workflows and ensure smooth operations.
Key Responsibilities

Strategic Partnership:
Build trusted partnerships with the leaders you support, their direct reports and other key stakeholders across the business.
Keep a pulse on the organization and anticipate needs, enabling leadership to see around corners and operate more effectively.
Maintain confidentiality while handling sensitive information and acting with discretion.

Calendar & Meeting Management:
Proactively and accurately manage heavy calendars by understanding business and leadership priorities, protecting executive focus time, minimizing context switching, and removing scheduling conflicts.
Manage meeting requests by gathering key details (subject, agenda, participants, target dates) and providing necessary context and pre-reads.

Event Coordination:
Plan and execute events and offsites involving executives, leadership teams, or company-wide initiatives.
Deliver engaging, high-impact experiences aligned with the company’s roadmap and values while being a good steward of the budget.

Administrative Support:
Provide day-to-day admin support including inbox management, expense tracking, travel arrangements, and document management.
Assist in coordination across departments, driving communication and follow-up on key strategic initiatives.

Project Management:
Work on special projects as assigned by executive leaders.
Help develop effective operational processes and documentation when needed.
Who we’re looking for
5+ years' experience providing administrative support in a corporate setting
3+ years' experience as an Executive Assistant directly supporting senior leadership (VP level or above)
Documented experience managing complex, high-volume calendars and facilitating meeting logistics for multiple executives
Demonstrated proficiency with remote collaboration tools
Experience handling confidential information with discretion and maintaining professional standards
Strong written and verbal communication skills, with examples of cross-functional collaboration
Track record of managing multiple, competing priorities and meeting deadlines in a fast-paced environment
Experience with expense tracking, travel arrangements, and document management
Ability to support East-coast based executive schedules
It’s great if you also have
Prior experience working within a technology startup or high-growth company (highly desirable)
Proven history of organizing and executing large-scale offsites and events, with the ability to deliver white-glove experiences for executive audiences
Documented success in leading project management and improvement initiatives, with a focus on creating seamless processes
Passion building and contributing to team culture
Previous experience with tools including Slack, Google Workspace, Zoom, Ramp
